Blue Hat Events (Pty) Ltd ("Blue Hat Events", "we", "us") respects your privacy. This policy explains what personal information we collect through www.bluehatevents.co.za, why we collect it, and how we protect it, in line with South Africa's Protection of Personal Information Act 4 of 2013 (POPIA).

2. What we collect

• Details you give us when you complete a quote or contact form, email, phone or WhatsApp us: your name, company name, email address, phone number, event type, preferred date, estimated group size, budget range and any message you send.
• Website usage information collected by Google Analytics: pages visited, time on site, approximate location (city or region), device and browser type, and how you arrived at the site. This is collected using cookies and does not identify you by name.

We do not knowingly collect information from anyone under 18, and we do not ask for special personal information such as health, religious or biometric data.

3. Why we use it

• To respond to your enquiry and prepare a quote or proposal.
• To plan and deliver your event, including coordinating with venues and suppliers on your behalf.
• To send you invoices and keep the records the law requires.
• To understand how visitors use our website so we can improve it.

We will only send you marketing messages if you have agreed to receive them, and you can opt out at any time.

4. Who we share it with

We never sell your personal information. We share it only where needed to do what you asked:

• Venues, caterers, entertainers and other suppliers working on your event, limited to what they need (for example, your contact person's name and the event date).
• Service providers that run our business, such as our website host, email provider and accounting software.
• Google, which provides our website analytics and the map on our contact page. Google may process this information on servers outside South Africa, under its own privacy terms.
• Authorities, where the law requires it.

5. Cookies

Our website uses cookies from Google Analytics to measure visits, and the embedded Google Map and YouTube video on our site may set their own cookies. You can block or delete cookies in your browser settings; the site will still work.

6. How long we keep it

We keep enquiry details for as long as needed to respond to you and deliver any event you book. Financial records are kept for at least five years, as South African tax law requires. After that, we delete or anonymise the information.

7. How we protect it

We take reasonable technical and organisational steps to keep your information safe, including encrypted (HTTPS) connections on our website, password-protected systems, and limiting access to staff who need it.

8. Your rights

Under POPIA, you may ask us to:

• confirm whether we hold personal information about you, and give you a copy of it;
• correct or update it;
• delete it, where we are not required to keep it;
• stop using it for marketing, or object to how we use it.

Email info@bluehatevents.co.za and we will respond within 30 days. If you are not satisfied with our response, you may lodge a complaint with the Information Regulator (South Africa).

We may update this policy from time to time. The latest version will always be on this page, with its effective date at the top.
